One of the great things about making what started out as just an attendance app specifically for youth ministry has been the inclusion of stuff that makes sense for youth pastors that you would never find in a traditional attendance app.


 

Manage Schools

No two communities are the same.  For sure though, there are no two communities with the same schools.  When you first set up the app, you have the option to enter schools.  In the More tab, you can tap on Manage Schools to add or remove schools or tweak the grade levels.

Dragging the sliders will adjust the grade levels.

Tapping on the name will allow you to edit the name of the school.

Tapping the + button will allow you to add a new school.

And pressing on the grade region on the right and swiping to the left will reveal a Delete button if you would like to remove a school.

There is a default school that isn’t shown called ‘Other’.  If a school is deleted, any students that were in that school will be moved to the school Other.

Manage Event Types

Event types are different for every ministry as well.  While ministry event types are added to the database through the Add Event screen for Event Admins, you can edit the name of an event type or remove an event type from the database by going to the More tab and tapping on Manage Event Types.

Tap on the name to display the keyboard and edit the name.

Swipe left on the row to reveal the delete button to remove an event type.  Removing an event type will also delete any events that were associated with that event type, so be very careful when removing event types.

Manage Report Types

Each ministry will need to generate different reports for different people at different times with different sets of data included.  When creating reports, there is the option to save the report type. Once it is saved, going to the More tab and tapping on Manage Report Types will allow you to edit the name of the report type as well as the fields, sorting, order, and format.

Tap on the name to display the keyboard and edit the name.

Tap on Edit to change the fields, sorting, order, or format.

Swiping left on a row will reveal a delete button if you would like to remove the report type from the database.

Manage Graduation Date

As years go by, students tend to change grades.  We’ve made it easy to customize the time of year when your students will automatically be promoted to the next grade.  Depending on your location and preference, this may be at the start of the school year, the end of the school year, and it could be different based on which hemisphere you are in.

To change the date, simply tap on More > Manage Graduation Date.  When you set the date, it will take into account when the students were added to the database and what was entered at that time.

For instance, if a student is entered on June 30th as a 6th grader and the default graduation date occurs on July 1st, that student will be promoted to a 7th grader.  If you change the graduation date (even after it has occurred) to June 29th, the student will be restored to a 6th grader.

A problem can occur for students that are entered into the database around that graduation date and aren’t sure if they were supposed to enter their grade from the previous year or the grade they will be starting soon.  Make sure to keep track of which date you choose and help students choose the right grade according to the date that they are added to the database relative to the graduation date.

Manage Attendance Classifications

Each ministry has different ways that they would classify visitors, casual and regular attenders. For some groups, regular attenders are there almost every week (say 90%) but for others, a regular attender is anyone that will at least half the time (say 51%).

These classifications are used in the smart group filters and will be integrated into more places in the app in the future.

For visitors, you can set your classification to students that have attended an event within the event type once, twice or however many times makes sense in your ministry.

For casual and regular attenders, the scale will set the dividing point for your ministry.  This allows you to sort students that have different attendance percentages so that you can taylor your communication to them in a way that makes sense for them.
